Ticketing System with Phone Support: Calls in Your Helpdesk [2026]
A ticketing system with phone support brings calls, WhatsApp calls, chat and email together, with every call logged on the customer. Learn what it is, what to look for and how it works.

Your customer emails on Monday about a damaged delivery, sends a photo on WhatsApp on Tuesday and calls on Wednesday because nothing has happened yet. If your team handles chat and email in a ticketing system but takes calls on a separate phone, whoever picks up has no idea what's going on. A ticketing system with phone support fixes that: calls arrive in the same place as your chats and emails, and every call is logged with the customer.

In this article you'll learn what a ticketing system with built-in calling is, why it matters, what to look for when choosing one and how it works day to day.

What is a ticketing system with phone support?

A ticketing system (or helpdesk) turns customer questions into tickets: one question, one case, with an owner and a status. If you're new to the concept, start with what is a ticket system.

A ticketing system with phone support adds calling to that. Your agents make and take calls in the same software, usually right in the browser with a headset. No desk phone or separate calling app needed. The key difference from a standalone phone system: the call doesn't disappear into a call log on a device. It ends up in the inbox, linked to the customer.

Today, phone support in a helpdesk comes in two forms:

  • VoIP (internet calling) on a regular phone number. The customer dials a landline or mobile number; the call is routed through a provider such as Twilio to your browser.
  • WhatsApp calling. The customer taps the call icon in WhatsApp and you answer in your customer service software. We explain how that works in our article on WhatsApp Business calling.

Why add phone support to your ticketing system?

For most webshops, chat and email are the biggest channels. Still, some customers want to call, especially with a complaint, an urgent question or something that's hard to type out. When calls happen outside your ticketing system, three problems appear:

  1. No context. Whoever answers can't see the earlier emails and chats.
  2. No record. After the call, nothing is logged unless someone writes a note by hand.
  3. No owner. A callback request on a sticky note or in someone's head is easily lost.

With phone support built into your ticketing system, you get one timeline per customer, whatever the channel.

The benefits at a glance

1. One place for every channel. Calls, WhatsApp, email, Instagram and live chat in the same team inbox. Your team doesn't have to switch between tools.

2. Every call logged. When the call ends, it shows up in the inbox with its duration and outcome. Missed calls are visible too, so nobody forgets to call back.

3. Callers recognized. If the number is known, you see straight away who's calling and can pull up earlier conversations.

4. Call without switching screens. The call panel sits next to your inbox. If a chat isn't getting anywhere, call the customer from the same dashboard, or call back with one click from your recent calls.

5. No extra hardware. A browser and a headset with a microphone are all you need, so new team members can join from anywhere.

6. Easy handovers. If a colleague needs to take over, transfer the call. Everyone sees the same case.

VoIP, WhatsApp calling or a traditional phone system?

There are roughly three ways to set up phone support. They aren't mutually exclusive: many teams combine VoIP and WhatsApp calling.

Traditional phone systemVoIP in your ticketing systemWhatsApp calling in your ticketing system
How does the customer call?Regular phone numberRegular phone numberCall button in WhatsApp
Where do you answer?Desk phone or separate appIn the browser, in your helpdeskIn the browser, in your helpdesk
Call logged with the customer? No, separate call logYesYes, as a line in the WhatsApp chat
Outbound callsYesYesDepends on the software
Cost of inbound callsSubscription plus call chargesPer minute, depends on country and providerFree with Meta

A traditional phone system works fine for calls alone, but it's disconnected from your customer records. VoIP in your ticketing system is the logical choice if you want to offer a phone number. WhatsApp calling is ideal for customers who already talk to you on WhatsApp: they don't need to look up a number.

What to look for in a ticketing system with calling

Not every helpdesk with a "call button" does the same thing. Use this checklist when comparing:

QuestionWhy it matters
Are calls logged with the customer automatically?Without a log, you lose the biggest benefit
Can you make and take calls in the browser? No extra handsets or apps needed
Is the caller recognized? You see the customer history right away
Is there a call queue for multiple agents?Calls ring for whoever is available
Can you transfer calls and put them on hold?Essential as soon as more than one person answers
What happens when nobody answers?Voicemail and a notification prevent lost customers
Can you follow up missed calls automatically?A message keeps the conversation going
Is WhatsApp calling supported?More and more customers call via WhatsApp
What are the extra costs?Subscription, call minutes and any number fees

How it works in practice

Here's what a day with phone support in your ticketing system looks like:

  1. You join the call queue. At the start of your shift, you set yourself to available.
  2. A customer calls. The call rings for the available agents. If the number is known, you see the customer's name.
  3. You answer in the browser. You talk through your headset with the customer's history open next to it.
  4. You resolve it or transfer. If the question belongs with a colleague, you transfer the call.
  5. The call is logged. After you hang up, the call is in the inbox with its duration. You can assign it, set a status and follow up like any other ticket.
  6. Missed it? Follow up. A missed call also lands in the inbox. With an automation, the customer gets a message right away.

How phone support works in Bugalou

Bugalou combines two kinds of calls in one call panel: phone calls through Twilio and inbound WhatsApp calls.

Phone calls through Twilio (VoIP)

You connect your own Twilio account to Bugalou. From then on you can make and receive calls from the call panel in your browser. The panel has three tabs:

  • Dialpad: enter a number and call.
  • Recent: your call history with direction, duration and time, plus one-click callback.
  • Settings: choose your microphone and speaker, set your status and join the call queue.

During a phone call you can mute, put the caller on hold and transfer to a colleague or an external number. If a number is assigned to one agent, calls to it ring only for that agent. Otherwise they ring for everyone who's available. If nobody is available or nobody answers, the caller can leave a voicemail, which appears in the conversation in your inbox.

Every inbound phone call becomes a conversation in your inbox, linked to the customer profile by phone number. When the call ends, Bugalou adds a line:

SituationLine in the conversation
Phone call answered๐Ÿ“ž Phone call (2:14)
Inbound call missed๐Ÿ“ต Missed call
Outbound call not answered๐Ÿ“ต Not answered: outgoing call
WhatsApp call answered๐Ÿ“ž WhatsApp call (2:14) ยท answered by Anne
WhatsApp call missed๐Ÿ“ต Missed WhatsApp call

The same Twilio connection also lets you send and receive SMS in the same inbox.

WhatsApp calls

If you've connected a WhatsApp Business number, you can switch on WhatsApp calling per number. Customers then call you with the call button in WhatsApp and you answer in the same call panel. You don't need Twilio for this. Meta only enables calling for numbers with a messaging limit of at least 2,000 customers a day; Bugalou shows next to the switch whether your number qualifies. Bugalou supports inbound WhatsApp calls; transfer and hold are available for phone calls only.

Following up missed calls automatically

With the Missed call automation, Bugalou sends a message when a phone or WhatsApp call goes unanswered, for example a WhatsApp template saying "We saw you tried to call us". The customer can then continue in writing.

Phone support and WhatsApp calling are available on the Pro and Enterprise plans. See every feature on the Bugalou VoIP page.

What does a ticketing system with phone support cost?

The cost usually has three parts:

  • The software. In Bugalou, phone support is included in the Pro and Enterprise plans. See current prices on the pricing page. Inbound phone calls count as a conversation within your plan.
  • Call minutes and numbers. With VoIP you pay your provider per minute and for the phone number. Twilio is pay-as-you-go; rates depend on the country and type of number. You pay Twilio directly.
  • WhatsApp calls. Inbound WhatsApp calls, where the customer calls you, are free with Meta.

On the other hand, you don't need to buy handsets, a PBX or a separate calling app.

Tips to get started

  • Start with inbound. Make sure calls come in properly and get logged first; outbound calling will follow naturally.
  • Agree who's in the queue. A call button nobody responds to is more frustrating than no call button at all.
  • Use a good headset. Noise cancelling makes you sound more professional, even in a busy room.
  • Summarize the call. Put what you agreed in a note, or send it by WhatsApp or email after the call.
  • Set up an automatic message for missed calls. That way no customer is left without an answer.

Frequently asked questions about ticketing systems with phone support

What is a ticketing system with calling?

A helpdesk where you can make and take calls alongside chat and email. Calls land in the same inbox and are logged with the customer.

Do I need a separate phone system?

No. With VoIP you call through the browser. In Bugalou you connect a Twilio account for phone numbers; for WhatsApp calls, a connected WhatsApp number is enough.

Can I use my existing phone number?

If you already have a Twilio number, you can use it in Bugalou right away. You can also get a new number through Twilio in more than 100 countries.

Does calling work on my phone?

Calling in Bugalou works in the browser on a computer. You can't take calls through Bugalou on a phone or tablet.

What happens when nobody answers?

With a phone call, the caller can leave a voicemail, which shows up in the inbox. For both phone and WhatsApp calls, a "missed call" line is added to the conversation, and you can send a message automatically.

Can customers call us via WhatsApp?

Yes, on the Pro and Enterprise plans. You switch on WhatsApp calling per number, as long as the number has a messaging limit of at least 2,000 customers a day. Inbound WhatsApp calls are free.

Conclusion

A ticketing system with phone support means calls are no longer an island. Every call, answered or missed, is logged with the customer next to their chats and emails. Your team answers in the browser, transfers when needed and follows up missed calls automatically.
