CSAT score = (Number of positive ratings ÷ Total number of ratings) × 100

A common mistake: calculating the average rating (e.g. "an average of 4.2") instead of the percentage of positive ratings. The three are complementary, not interchangeable: CSAT tells you how a conversation went, NPS tells you whether the customer would recommend you, and CES tells you whether it was needlessly hard.   • Immediately after the conversation ends — the longer you wait, the less accurate and the lower the response rate.

1. Fix where the low scores actually come from

Filter your low ratings by agent, channel, and topic. Often 80% of low scores trace back to a small number of recurring causes — slow response time on one channel, or unclear policy around one specific issue.

2. Shorten response time

Response time is one of the strongest predictors of CSAT. Customers who get a fast reply give higher ratings almost every time — regardless of whether their problem was fully resolved.

3. Give your team context

Agents who see the full conversation history and order data immediately don't need customers to repeat themselves — that alone removes a major source of frustration, and lost CSAT points.

4. Close the feedback loop

Don't let low scores sit unused. A weekly review of your lowest-scoring conversations with the team usually produces more improvement than any tool change.

Common mistakes in CSAT measurement

  • Waiting too long to ask — a survey sent a week later measures the customer's memory, not their actual experience.
