How to add an email signature in Gmail, Outlook and Apple Mail

First click 'Copy signature'. Then paste it into your email client's signature settings.

  3. 3Paste your signature and select it under 'Signature defaults' for new emails and replies.
  4. 4Click 'Save changes' at the bottom.

Outlook (web and new Outlook)

  1. 1Click the gear icon and go to Account › Signatures.
  2. 2Click 'New signature', give it a name and paste your signature.
  3. 3Set it as the default for new messages and for replies and forwards.
  4. 4Click 'Save'.

Outlook for Windows (classic)

  1. 1Go to File › Options › Mail and click 'Signatures'.
  2. 2Click 'New', name the signature and paste it into the edit box.
  3. 3At the top right, choose the signature for 'New messages' and 'Replies/forwards' and click 'OK'.

Apple Mail (Mac)

  1. 1Open Mail › Settings › Signatures and select your account.

  3. 3Paste your signature into the right-hand box. Mail saves it right away.

Phone (iPhone and Android)

  1. 1The Gmail and Outlook apps have their own, simple mobile signature. You'll find it in the app's settings, under your account.

  3. 3Send a lot of email from your phone? Choose the 'Compact' design, which stays readable as plain text too.

What does an email signature legally need to include?

In the UK, limited companies must show their registered company name, company number, place of registration and registered office address on business emails. Many companies put these details in the signature or in a small line below it.

Rules differ per country. In Germany, for example, business emails must include the legal form, registered office, register court and registration number. If in doubt, check with your accountant.

Tips for a good signature

  • Keep it to four to six lines. A signature isn't a full business card.
  • Use one accent color, ideally your brand color.
  • Keep your logo small: around 64 pixels wide is enough, also on mobile.
  • Skip inspirational quotes and long disclaimers unless you need them.
  • Use the same signature across your team so you come across as one company.

Frequently asked questions

Is the email signature generator really free?+

Yes. Create as many signatures as you like, no account needed. Your details stay in your browser and are never stored.

Does the signature work in Gmail, Outlook and Apple Mail?+

Yes. The signature is built with tables and inline styles, the markup every major email client supports. Click 'Copy signature' and paste it into your email client's signature settings.

How do I add my logo?+

Paste a link to your logo, for example from your own website. Email clients don't show uploaded files in a signature, so a public image link works best. Use a PNG or JPG about 200 pixels wide.

What should a professional email signature include?+

Your name, job title and company, plus one or two ways to reach you, such as phone and website. Keep it short: four to six lines is enough. A logo and social links are a plus, not a must.

Can my whole team use the same signature?+

Yes. Create a signature for each colleague with the same design and color. If you work from a shared inbox like Bugalou, you set a signature per team member that's added to every email automatically.
