How to schedule social media posts for Instagram, Facebook and TikTok

Coming up with a post every day takes time and gives mixed results. Here is how to schedule your posts for Instagram, Facebook and TikTok ahead, which tools you can use and when to post.

If you run a webshop or small business, you know how it goes: you want to post regularly, but something always comes up. A customer calls, an order needs to go out, and at the end of the day nothing has been posted. Or you post three times in one day in a burst of inspiration and then nothing for two weeks.

The fix is simple: schedule your posts ahead. In this article you'll read why that works, which tools you can use for Instagram, Facebook and TikTok, and how to set up your socials for the whole week in an hour.

Why schedule social media posts?

  • Consistency. Algorithms and followers reward a steady rhythm. With a schedule you keep posting in busy weeks too.
  • Less time spent. Creating all posts once a week is much faster than starting from scratch every day.
  • At the best moment. You post when your followers are online, even when you're in the shop or asleep.
  • Better content decisions. With a week or month in view, you quickly see whether you're selling too much and showing too little.
  • Teamwork. A colleague can prepare posts and you approve them before they go live.

Which tools can you use?

You roughly have three options.

1. The networks' own tools

  • Instagram and Facebook: Meta Business Suite lets you schedule posts for your Facebook Page and business Instagram account for free. With a professional account you can also schedule a post in the Instagram app.
  • TikTok: in TikTok Studio on desktop you can schedule videos for a limited period ahead.

Pro: free. Con: you work in two or three separate places, and you read comments and DMs somewhere else again.

2. Separate scheduling tools

Tools like Buffer, Later and Hootsuite schedule posts for several networks at once, with a calendar and stats. Handy if social media is a big part of your job. You do pay for a separate subscription, and customer questions coming in through your posts still need answering in another app.

3. A planner next to your customer conversations

In Bugalou the social media planner lives in the same app as your inbox for WhatsApp, email, Instagram and Messenger. You schedule posts for Instagram, Facebook and TikTok, and reply to the comments and DMs they bring in from that same inbox. For webshops that's often the biggest win: a comment like "is this still in stock?" is simply a customer question.

Step by step: schedule a week of posts

Step 1: pick your rhythm

Start with something you can keep up. Three posts a week on Instagram and Facebook and two TikTok videos is enough for most small businesses. Better to post less and keep going than to post a lot and stop after a month.

Step 2: make a content calendar

Give each day a fixed theme, so you don't have to think up what to post every time. For example:

  • Monday: new product or new collection
  • Wednesday: behind the scenes, like packing orders, your team or your workshop
  • Friday: a tip, customer review or frequently asked question

Need ideas? The best social media marketing campaigns has examples of brands that do it well.

Step 3: create all content in one go

Block a fixed moment each week, for example Monday morning. Make all photos and videos, write the captions and get everything ready. A few rules of thumb:

  • Instagram: a strong first line, because the caption gets cut off after it. Carousels work well for explaining things.
  • Facebook: slightly longer texts and links are fine.
  • TikTok: vertical video, and the first seconds have to grab attention. Keep it short.

Tip for Instagram: put your hashtags in the first comment instead of the caption. Your post looks cleaner, and in Bugalou you simply schedule that first comment along with it.

Step 4: pick the right moment

There's no universal best time. It depends on your followers. Check your stats for when they're online and which posts got the most reach. In Bugalou you see this per account, and the Best time button suggests the best moment based on your own numbers.

Step 5: schedule and let it run

Put your posts in the planner, set the right caption per network and check the preview. After that there's nothing left to do: the posts go live on their own.

Step 6: reply and learn

Scheduling doesn't mean disappearing. Reply to comments and DMs, especially in the first hour after a post. At the end of the month, look at which posts performed best and make more of those.

Check your competitors now and then too. How often do they post, and which posts do well? That often sparks ideas for your own calendar.

How to schedule posts in Bugalou

  1. Tick the social media planner when you choose your plan, or turn it on under Billing.
  2. Connect your Instagram, Facebook Page and TikTok account through the official Meta and TikTok login.
  3. Click New post, upload your photos or video and pick the accounts.
  4. Let AI suggest a caption, from your idea or a product from your webshop, and tweak it per network. Pick hashtags from your saved sets and put them in the first comment if you like.
  5. Pick a moment, or click Best time, and schedule the post.

The calendar shows all your scheduled posts. To move a post, drag it to another day. If you work with a team, you can require posts to be approved first.

After publishing you see reach, views, likes, comments, saves and shares per post. Comments and DMs land in your Bugalou inbox, where you reply, hide or like them. And under Competitors you compare your Instagram with up to five other accounts.

Common mistakes

  • Only selling. Mix product posts with tips, behind the scenes and customer stories.
  • The exact same caption everywhere. A TikTok caption works differently from a Facebook post. Adjust it per network.
  • Not replying. A question in the comments left for three days costs you a customer.
  • Doing too much at once. Start with two networks and expand once it works.

Frequently asked questions

Is scheduling posts bad for your reach? No. A post scheduled through an official integration is treated by Instagram, Facebook and TikTok the same as a post you publish by hand.

How far ahead can I schedule? In Bugalou you can schedule as far ahead as you like. The networks' own tools have a limit.

Can I schedule Reels, Stories and carousels? In Bugalou you schedule photos, carousels, Reels and Stories for Instagram, posts for Facebook and videos for TikTok.

Can I see what my competitors are doing? On Instagram, yes. In Bugalou you add up to five public business or creator accounts and see their followers, growth, posts per week, engagement and best posts. For Facebook and TikTok the networks don't offer that data.

What does Bugalou's social media planner cost? €24 per month on top of your Starter, Pro or Enterprise plan. You can try it free during the 14-day trial.
