Managing Multiple Workspaces
Learn how to create, switch between, and manage multiple workspaces in Bugalou. Each workspace has its own plan, data, and team.
What Is a Workspace?
A workspace in Bugalou is a completely separate environment for managing customer conversations. Each workspace has its own:
- Conversations & Contacts — all messages, contacts, and conversation history are isolated per workspace
- Plan & Billing — each workspace has its own subscription plan (Starter, Pro, Enterprise) with independent message limits
- Team Members — invite different team members to different workspaces, each with their own role
- Settings — channels, labels, snippets, automations, integrations, and more are configured per workspace
- AI Agent & Help Center — trained separately for each workspace
This means that workspaces are ideal for:
- Managing multiple brands or businesses from one account
- Separating departments (e.g., Sales and Support) with different configurations
- Agencies managing customer support for multiple clients
- Testing new settings in a sandbox workspace before applying them to your main workspace
Creating a New Workspace
You can create a new workspace directly from the sidebar:
- Click the workspace switcher in the sidebar (below the Bugalou logo). It shows your current workspace name.
- At the bottom of the dropdown, click "New Workspace" (or "Nieuwe Workspace" in Dutch).
- Enter a name for your new workspace and click "Create".
- You'll be automatically switched to the new workspace.
New workspaces start on the Starter plan by default. You can upgrade the plan at any time from Settings → Billing.
Switching Between Workspaces
To switch to a different workspace:
- Click the workspace switcher in the sidebar. A dropdown will appear showing all your workspaces.
- The currently active workspace is marked with a checkmark (✓).
- Click on any other workspace to switch to it.
- The page will reload and all data (conversations, contacts, settings) will reflect the selected workspace.
You can switch between workspaces at any time — your data in each workspace is preserved independently.
Plans & Limits Are Not Shared
Each workspace operates independently when it comes to plans and usage limits:
| Feature | Shared? | Details |
|---|---|---|
| Plan (Starter/Pro/Enterprise) | ❌ No | Each workspace has its own plan |
| Message Limits | ❌ No | Message usage is counted per workspace |
| Team Members | ❌ No | Invite members separately per workspace |
| Conversations & Contacts | ❌ No | Completely isolated between workspaces |
| User Account | ✅ Yes | You log in once and can access all your workspaces |
| Personal Profile | ✅ Yes | Your name, email, and 2FA settings apply everywhere |
This means that if Workspace A is on the Pro plan with 5,000 messages/month, and Workspace B is on the Starter plan with 1,000 messages/month, they each have their own independent limit. Using messages in Workspace A does not affect Workspace B.
Roles Per Workspace
Your role can differ between workspaces. For example:
- You might be an Owner in your main workspace
- And a Member in a client's workspace that you've been invited to
When you create a new workspace, you are automatically assigned the Owner role. You can then invite team members and assign them roles.
Best Practices
- Use clear names — name each workspace after the brand, company, or department it represents (e.g., "Acme Support", "Acme Sales")
- Start with Starter — new workspaces begin on the free Starter plan. Test your setup before upgrading.
- Keep settings separate — configure channels, labels, snippets, and automations specifically for each workspace's needs
- Use sandbox workspaces — create a test workspace to experiment with new automation rules or AI agent configurations without affecting your live workspace
FAQ

No, workspaces cannot be merged. Conversations and contacts are isolated. If you need to consolidate, you would need to manually transfer data.
Is there a limit on how many workspaces I can create?
You can create multiple workspaces. Enterprise plans support unlimited workspaces. On other plans, contact support if you need to create additional workspaces.
What happens when I delete a workspace?
Deleting a workspace permanently removes all its conversations, contacts, settings, and data. This action cannot be undone. Only workspace Owners can delete a workspace.
